Oral Presentation by On-site Participants
- Registration will be open at the Icebreaker event on 5/21. Starting from 5/22, you can register at the conference venue entrance.
- Each presentation will have a duration of 15 minutes, including the Q&A session.
- Presenters are requested to transfer their files to the shared PC (Mac) during the break time.
- Generally, personal laptops are not allowed, but if it is absolutely necessary, please inform us in advance (make sure to install the latest version of Zoom beforehand, and use screen-sharing for the on-line participants).
- We will provide pointers for presentations.
- We will record the presentations on YouTube so that participants can exclusively access them one month after the conference.
Oral Presentation by On-line Participants
- Each presentation will have a duration of 15 minutes, including the Q&A session.
- Please make sure to install the latest version of Zoom as we will be using screen sharing during the conference.
- We will conduct a connectivity test during the last break, so please remember not to miss it.
- When it’s time for your presentation, please start screen sharing.
- In case of connection issues or absence during the scheduled presentation time, we may skip your presentation.
- To accommodate participants with poor network conditions, we offer the option to send us pre-recorded videos for presentation while conducting the Q&A session via Zoom.
- Please note that social events such as the Icebreaker and Banquet will not be streamed online.
- We will record the presentations on YouTube so that participants can exclusively access them one month after the conference.
Poster Session
- Registration will be open at the Icebreaker event on 5/21. Starting from 5/22, you can register at the conference venue entrance.
- Poster boards will be placed in the concourse area. Please display your posters on the designated boards (we will provide pins).
- There is no need to replace the posters during the conference; they can remain displayed throughout the conference.
General Information for All On-site Participants
- Registration will be open at the Icebreaker event on 5/21. Starting from 5/22, you can register at the conference venue entrance.
- We provided the program, abstracts, booklets, Zoom and YouTube links through Google’s web services. Since these data are restricted to conference attendees only, please refer to the email sent by Organizing Comittee recently.
- The venue offers two types of Wi-Fi (eduroam and backup eduroam guest). As there is a limit on the number of connections, please refrain from connecting unnecessary devices such as smartphones.
- Food and beverages are not allowed inside the conference venue (but permitted in the concourse area).
- Restroom availability is limited. If the facilities are crowded, please use the restrooms in the Seihoku Gallery (the lunch buffet venue).
- Childcare services will not be provided, but if you anticipate bringing children to the venue, please inform us in advance.
Ice Breaker reception
- Ice Breaker Reception will take place at the Restaurant Abreuvoir of the University Tokyo. For detailed directions, please refer MAP and information card.
Lunch
- Lunch will be provided in a buffet style with options available for vegetarian meals. Alternatively, you can also use nearby convenience stores and restaurants.
- A small sign saying “vegetarian” or “plant-based” will be next to the dishes. Please note that, given that all the meals are cooked in the same kitchen, a small amount of “contamination” is inevitable. Thus, we cannot guarantee that the vegetarian menu follows strict Halal rules.
Coffee Break
- There will be two coffee breaks, one in the morning and one in the afternoon. Refreshments, including coffee and mineral water, will be provided during these breaks. Additionally, refreshments will also be available during lunchtime.
Banquet
- Please remember to bring your name tag to the banquet venue.
- The banquet will take place at the Royal Park Hotel (https://goo.gl/maps/GVrvL1Crxq5xdzLb7).
- The banquet will feature a tempura cooking demonstration, live music performances, and a selection of Japanese sake and domestically produced wine. We hope you enjoy the experience!
- Additional drinks can be purchased during the banquet using cash or credit cards.
